Staff may of heard about the NHSmail refresh; also called the Exchange Online migration or the Email upgrade over the last few months.
This refresh / upgrade work is being undertaken by NHS Digital / Accenture to provide further improvements and functionality going forward.
GP staff will get emails directly from NHSmail in regards to when they will be transferred and what to expect in the migration.
The NHSmail Refresh involves moving NHSmail mailboxes from the current Exchange on-premise service into Exchange Online. This is to enable improvements now and in the future.
The refresh will happen in the background overnight and should not impact your day to day work.
All NHSmail accounts across the entire NHS are being refreshed from end of August until end of October. Some staff accounts maybe refreshed before (or after) your own. In any event, you’ll receive an email letting you know when your specific account has been scheduled for refresh within 2 weeks.
There is no change on how you access your emails, there might be some slight disruption on the first login and some important things to be aware of:

Post migration you may notice that genuine emails are being placed into the Junk Email folder. Please do check this folder regularly to ensure you do not miss any emails. Here you can mark the email as Not Junk which will aid Microsoft and the NHS in ensuring that future emails are not classed as Junk for others. It also ensures the email address are added to the safe sender list.

If you want to view another mailbox to which you already have permission in NHSmail, you will need to open it via the following process.
The guidance sent directly from NHS Digital / Accenture discusses new features, for BHR CCGs staff please refer to the below in regards to the available features post migration
Following the NHSmail refresh, you’ll be able to continue to access your emails, calendar and contacts through the Outlook desktop application, via a web browser (Outlook Web Access) and your mobile device.
You’ll now have full access to Teams. This application will enable you and your colleagues to send instant messages, make internal calls, and collaborate in one secure location. Everything you once did in Skype for Business can now be done in Teams, plus more.
The major changes is following your upgrade, you will gain the benefits of Teams and Outlook calendar integration. Within 1-3 days post Refresh, the calendar icon will appear within the menu on the left-hand side of the Teams client allowing you to access and schedule meetings with ease.
This will mean you will be able to schedule meetings, a feature you are not currently able to do within Teams.
If you have a work mobile you can download the Teams application from the App store and setup with your NHSmail email address and password.
Should you have any concerns of queries pre-migration or issues post-migration. Please contact BHR CCGs IT Servicedesk via email (itservicedesk@bhrccgs.nhs.uk) or telephone on 0203 416 5900.
Please cascade this to all the GPs and staff in your practice.
